Games Policies

Age is determined as of the first day of the Games. Most sports will have an age category and some events are open events only, which means that age groups do not apply. It is the competitors’ responsibility to check which age categories apply to the sport they are entering. Unless otherwise stated, competitors may only enter into one age category.

The standard age categories are:

  • 18 = 18-29
  • 30 = 30-34
  • 35 = 35-39
  • 40 = 40-44
  • 45 = 45-49
  • 50 = 50-54
  • 55 = 55-59
  • 60 = 60-64
  • 65 = 65-69
  • 70 = 70+
  • 00 = Open

M = Male
F = Female
C = Combined Unisex

Competitors are prohibited from consuming alcoholic beverages during competition and alcoholic beverages are prohibited from any area of competition, unless previously authorised by the Games Management. Sport Coordinators may prohibit any person from competing in any event or competition if in their opinion that person is displaying signs of drunkenness or appears to be affected by alcohol.

Controlled substances are prohibited from being used unlawfully by any competitor. The use of any illegal or performance enhancing drugs by any competitor is strictly prohibited.

Volunteers are prohibited from consuming alcoholic beverages during competition and controlled substances are prohibited from being used unlawfully.

Copies of the Infectious Diseases Policy by Sports Medicine Australia will be provided to every Sport Coordinator. All Sport Coordinators will be briefed on this issue.

A number of blood-borne infectious diseases can be transmitted during body contact and collision sports. The more serious include viral Hepatitis and HIV (AIDS) infections. It is important to remember that more common diseases, such as the ‘common cold’, flu and herpes simplex may be spread during body contact sports.

All open cuts and abrasions must be reported to the Sport Coordinator or Games medical personnel immediately. If bleeding cannot be controlled and the wound securely covered, the competitor will not be allowed to continue in the competition until medical personnel have provided a clearance to the Sport Coordinator. Sport Coordinators have discretion as to whether any contaminated clothing

or equipment will need to be replaced prior to the competitor being allowed to continue in the competition.

Any person with prior evidence of infectious disease are strongly advised to obtain confidential advice and clearance from a doctor prior to the start of any participation.

Any sport or event may be cancelled by mutual agreement between the APES Games Manager and the sporting body responsible for organising the Games. The APES Games shall initiate steps to notify all affected entrants and return appropriate fees. If an event is cancelled by the APES Games, and an alternative event is not available, entrants will be notified at least two weeks prior to any competition and the entry fees refunded.

COMPETITOR RESPONSIBILITY – It is ultimately the entrant’s responsibility to notify the APES Games in writing if the refund has not been received. Such written notification must be received by the APES Games within 60 days of the end of the Games. After the official Games registration closing date, if a competitor withdraws from any competition, that competitor will be eligible for a refund subject to the circumstances provided in writing to the Games Management.

Some sports may set a maximum number of participants due to competition and /or venue restrictions. If an application is received after the maximum has been reached, or an event is cancelled, the competitor is entitled to a full refund of the sport fee for that event. If a competitor is unable to secure a place in any other Sport and does not attend the APES Games, the competitor is entitled to a full refund of any other fees paid, less $90 registration fee. To be eligible for a refund of any nature an application for a refund must be submitted in writing to the APES Games Manager.

The organising committee of the APES Games reserves the rights to alter or make changes to the times, dates, locations and event programming wherever and whenever necessary. Notification of any changes will be supplied to an affected competitor and placed on the website.

  1. In the first instance all protest / disputes are to be made to the senior referee at the time of the protest / dispute.
  2. If the referee cannot resolve the matter the Sport Coordinator is to be advised. The Sport Coordinator will seek to resolve the matter at the venue.
  3. If the protest / dispute cannot be resolved by the Sport Coordinator, the competition will be allowed to proceed under protest / dispute.
  4. If a competitor wishes to lodge a written protest / dispute a $50 fee will apply.
  5. The protest / dispute is to be submitted in writing to the APES Games Manager within 8 hours of the initial protest / dispute.
  6. The APES Games Manager will convene the Protest / Dispute committee at the earliest possible opportunity.
  7. If the presentation of medals is affected by the possible results of the protest / dispute, the awards shall be withheld pending the Protest / Dispute committee decision.
  8. The Protest / Dispute Committee decision shall be final.

All sports are responsible for securing their venues and equipment against damage or theft. Every venue has public liability insurance, a copy of which is available through the Games Manager.

Spectators will not be permitted onto the field of play/competition area at any sporting venue (indoor & outdoor). Restrictions may also apply at other venues depending upon spectator numbers. Assistance is requested from all parents/carers to supervise their children in the vicinity of all sporting areas.

All APES Games sports are governed by the rules for that sport. The individual rules will outline any hot weather and inclement weather guidelines.
